The following is an updated description of the codes and format that are being used for the Old Town Canoe Company build records archive project. This is version 11.13 of this document and I expect that there will be many updates as new information is uncovered and additional codes are added. The plan is to type the following eleven pieces of coded information from the card into a simple text file using two spaces and a vertical bar (|) or back slash (\) to separate them. This means that if file 000026.GIF showed a canoe shipped on February 17th, 1906 with serial number 3974 to Egypt that was a 17 foot, AA grade, HW model in dark green with sponsons, a sail, unusual awnings, and built date of November 21st, 1905 then the coded information using the tables below would look like: 000026|021706|3974|EG|17|AA|HW|DG|PS|Awnings|112105 Scans which contain no pre-printed text can be assumed to be the back side of the prior card's scan. It seems reasonable to omit this information from the database although it may help fill in information if any is missing from the front of the card. There are some duplicate cards where the second card is identified as a later repair. This information does not need to be typed although I would like to know about these so they can be re-filed with the other repair records. Completely illegible or missing entries should be left blank. Partially ledgible information should be entered with question marks ("?") in place of the un-readable characters. =============================================================================== Scan file name / number: up to eight alpha-numeric characters This is the file name of the image that this line of information is from. You do not need to include the file name extension (.TIF, .GIF, etc.). Shipped date: six numeric characters in a mmddyy format. This is usually in the upper left corner of the card. It should be converted to a two digit month (01=January, 02=February, etc.), day, and year (06=1906, 07=1907, etc.). Please be sure to include any leading zeros because 1116 could be 11-Jan-1906, 1-Nov-1906, or 1-Jan-1916. Use question marks "?" for any digits which are missing or not legible. Canoe serial number: six numeric characters This is usually located in the upper right corner of the card. Leading zeros do not need to be included. Shipping destination code: two alphabetic characters This is usually in the upper left portion of the card. The following list is based on the US postal state code list with additions for foreign countries (Brazil, Egypt, etc.), Canadian Provinces, and major U. S. cities (Boston, New York, Philadelphia, Chicago, San Francisco, etc.) The final destination should be used if multiple locations are listed. It will range from 34 for war canoes to 4 for display models. Fractional lengths like the 11 foot 8 inch Race Plane model should be listed in a ff-ii notation without leading zeros (i.e. 11-8). Grade code: two alphabetic characters This is usually near the center of the card on the left side just below the length. The known grades are listed below. Built Date: This optional field of six numeric characters in a mmddyy format is for the earliest date on the card when the canoe's serial number was originally issued. Some cards list this as the Built date and others use the Half Built designation. It is usually in the middle of the right column on the card. It should be converted to a two digit month (01=January, 02=February, etc.), day, and year (06=1906, 07=1907, etc.).
